Position Responsibilities

The Administrative Assistant is responsible for the day-to-day oversight and operation of the St. Thomas Office with a primary focus on facilities management, vendor coordination and maintaining a well-functioning, professional work environment. This role requires a high level of ownership, responsiveness and attention to detail and the ability to manage multiple priorities in a dynamic, fast-paced office setting. This is an in-office role requiring on-site presence 5 days a week and may require occasional early morning, evening or weekend time in the office.

Responsibilities include, but are not limited to:
  • Administrative Support
    • Providing administrative support to senior leaders
    • Serving as front-facing representative of the office
    • Managing general clerical activities (e.g., printing, copying, filing and mail)
    • Assisting with team events and office initiatives
  • Facilities & Office Operations
    • Overseeing daily office operations and facilities management
    • Serving as primary point of contact for landlord and building management
    • Managing third-party vendors including cleaning, maintenance and food delivery
    • Maintaining office infrastructure including common areas and equipment
    • Coordinating with Technology Solutions on equipment and onboarding logistics
    • Monitoring and managing office and kitchen inventory
    • Supporting office readiness for meetings and visitors
    • Running local errands as needed (e.g., office supplies, food pantry items, picking up lunch for the office)

Candidate Requirements

Qualifications & Experience:
  • Bachelor's degree required
  • At least 3 years of administrative, office management or facilities experience
  • Strong organizational and operational skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office, particularly Word and Excel
  • Strong attention to detail
  • Ability to take ownership and proactively resolve issues
  • Driver's license and access to a vehicle required
  • Demonstrated ability to effectively leverage AI tools in day-to-day work, with strong critical thinking to assess accuracy, limitations and appropriate use of AI generated outputs
  • Enthusiastic about working in office and creating a Gold Standard hybrid work culture
